Meetings & event services

The bureau represents the entire Parkersburg area from various business interests to all segments of the hospitality industry.

To assist you in planning and conducting your meeting or conference, the bureau staff is prepared to offer a variety of services to make the job of the planner much easier and the outcome of the event more successful. Unless otherwise noted, these services are free.

Site Inspections – our staff will accompany you on a site inspection of hotels and meeting facilities and introduce you to their sales and servicing representatives.

Pre-Event Counseling – we have complete information on hotels, restaurants, attractions and meeting facilities along with general information on the area.

Suppliers – our staff can provide the names of local firms that provide a variety of equipment and services such as caterers, sound systems, t-shirts, signs, etc.

Welcome Letters – we can secure appropriate letters of welcome from the bureau as well as local and state officials for your program book or other use.

Welcome Banner – the bureau can provide a banner for your registration area or other suitable location welcoming the participants to the area.

Welcome Packets – the bureau can supply local promotional brochures, area maps and other materials that you can assemble for distribution to the event participants.

Registration Display – we can set up a display with color photographs of area attractions, local maps, promotional brochures and other information.

Hotel/Motel Listings – the bureau maintains a listing of most area lodging facilities with or without rate information to assist your participants in making their lodging decisions.

Restaurant Listing & Menu Display – our staff can provide a listing and/or a display of menus from local restaurants to help your participants in making their dining choices.

Coupon Packets – for most events, we can supply a packet of coupons from area attractions, restaurants, unique shops and other businesses offering discounts and special savings.

Media Contact List – we have an up-to-date list of local media contacts and suggestions on how to increase publicity about your event.

Pre-event Mailing to Participants – the bureau can send a packet of information on the area to the all of those registered for your event or to a more selective list (team captains, sponsors, etc.) 

Attendance Builders – we can provide a variety of promotional brochures, photographs or scanned images on CD for your publications or other uses.

Local Street Maps – the bureau has maps of major local streets and highways available in pad form or loose. Maps can be over-printed to denote points of interest specific for your event for a nominal fee.

If you are in need on a service that is not listed, please let us know. Whenever possible, our staff will be happy to help you by providing other special services or assistance or directing you to someone who can.
